Date:April 9, 2018 4:30pm
Expires:September 31, 2018

Hello PFF Camping Committee,

We want to take this opportunity to address the current circumstance with the Philadelphia Folk Festival Camping Committee. There are some changes that need to be implemented and emails were recently sent by the Festival Leadership Team to all Camping Committee Volunteers as well as all committee chairs. If you did not receive these emails, we will outline the information below:

The basic message is as follows:

All Camping Prefest Gate Crews/Supervisors and Field Gate Crews/Supervisors and all Internal Security are now under the direction of the Security Committee.

All other Camping Divisions remain with the Camping Committee with limited changes. This includes the following Divisions:
ˇ Prefest- Includes Building, Roads, Office, Café
ˇ Instrument Storage

ˇ Showers

ˇ Handicapped and FOF Parking lot

ˇ Vehicular Camping

ˇ Shuttle (Equipment)

ˇ Office

ˇ Communications (Camping)

The Next order of business is to address the leadership changes.

The Co- Chairs and Assistant Chairs have all chosen to resign.

We want to thank Peter Schechner, Craige Keith, Rick Emery, Barbara Johnson and Mike Duffy for their tireless dedication to the camping committee. They will be missed, and we hope they stick around to assist the new generation with their experience. If you have any questions please reach out to them. If you need their contact information please reply to this email and we will provide you with the requested info.

The new Camping Leadership Team has emerged and is ready to take on the challenges of leading the remaining divisions into the next chapter of the Camping committee. Please welcome Sally McCabe and Dana Tyson as Co-Chairs and Kevin Carlino and Steve Gregg as Assistant Chairs. They can all be reached at pffcamping@comcast.net with questions, answers, and suggestions, and to be sure you have the correct information.

We all hope you will join us in this new chapter of the Folk Fest Camping Story.

Now down to some FAQs about the situation

1. I was on a crew that has been moved to Security. What do I do now?
You are encouraged to visit the Security website at http://www.pffsecurity.com to sign up. Be sure to include a brief note about your previous assignment - e.g., Foot Crew, Crew Chief, Field Supervisor, Operations Supervisor and crew assignment - when you complete the volunteer application. The Security committee wants you to know that there is no intention to change your position or location unless you request it. If you were on a crew that was organized as a group by one main contact, please be sure your friends and family have been notified of these changes.

2. My Division/position remains with the Camping Committee. What do I do now?
Please watch your email for another communication from the Camping Committee concerning Signups. You will need to let us know in both our Camping Database AND in the notes when you fill out the Volunteer Application that you plan to volunteer in the same position. You will also want to contact your Supervisor to indicate your intention to return for PFF2018. The estimated timeframe for signups to open is Mid-April. We request that all returning volunteers in positions that remain with Camping confirm they will return by May 31st. Your position may be at risk to be backfilled if we do not hear from you by this date.

3. I am NOT interested in joining Security. Is there a way for me to remain with Camping?
We may have limited openings in divisions that remain with Camping. Please contact the camping committee at PFFCamping@comcast.net to express your interest. These positions will be filled on a first come, first served basis. We will request that all returning volunteers in positions that remain with Camping confirm they will return by May 31st, after which we will refer to the waiting list to fill open positions with folks who were reassigned to Security that wish to remain with the Camping Committee.

4. Is there still a Prefest Division of the Camping Committee?
Yes. As noted above, there are areas of Prefest that remain with the Camping Committee, but we anticipate there will be less positions to fill and current members of these positions will have priority. Any open positions will be filled on a first come first served basis as well.

5. How many Hours will Prefest work?
All Prefest volunteers will work 24 hours. This is to align with other committees and their requirements. More information will be distributed to affected volunteers when it is available.

6. Whats going on with the Prefest Café
The Camping Committee Prefest Café will continue to serve Prefest volunteers that sign up and contribute $. Discussions need to be had with the Supervisors who run this area, but we anticipate that we will continue to serve anyone on any committee that is interested in participating. That of course depends on the ability to serve a set amount of folks. That means, if you sign up for Prefest gates, you are now with Security, and you will be invited to participate.

7. How is Instrument Storage affected?
There is currently NO CHANGE to this division. Contact your Supervisor to work out your schedule.

8. How is Showers/FOF Parking affected?
There is currently NO CHANGE to this division. All returning volunteers should contact the Camping committee at pffcamping@comcast.net to reserve their space

9. How is Vehicular Camping affected?
There is currently NO CHANGE to this division. Contact your Supervisor to work out your schedule.

10. How is Shuttle (equipment) affected?
There is currently NO CHANGE to this division. All returning volunteers should contact the Camping committee at pffcamping@comcast.net to reserve their space

11. How is the Office division affected?
The basic functions of the office will remain the same. The Field Evals will move to Security but the food area is expected to serve ON DUTY Camping volunteers along with ON DUTY Camping Security Gates. The office will remain as an informational hub to answer volunteer/ticketholder questions, hand out trash bags, log lost and found, etc. You may also be tasked to assist other Camping divisions with coverage as the need arises. Contact your Supervisor to work out your schedule.

12. How is Communications (Camping) Affected?
The expectation is that no significant changes will occur, but there will need to be adjustments made to accommodate communicating with both Camping and Security. Contact your Supervisor to work out your schedule.
